General Information for All
Presentations and AV Requirements

For All Speakers

  • Participate in a conference call with your fellow session presenters and/or moderators by October 15, 2009, to determine specific audio-visual needs and secure appropriate biographical information for introductions.
  • All presentations, except those for a Closed Meeting, will be posted on the Annual Meeting website as they are received (by October 30), so that attendees can review them beforehand and make hard copies of any materials they want to bring to the meeting.  No hard copies of presentations will be provided at the meeting.
  • Each meeting room will be equipped with a data projector package (projector, screen, cart, cabling), a laptop computer, and a flipchart. Let us know if your PowerPoint presentation needs specific AV support, such as the ability to show embedded videos, or if you require any additional equipment (such as a laserpointer or wireless mouse)

  • If you need a laptop and prefer to bring your own, please advise us so that an AV technician can be on hand to ensure a smooth transition from one to another.
  • Save your presentation in PowerPoint 2003 and bring it with you to the meeting on a jump drive. We will preload the presentation that you submit by the October 30 deadline, but bring a jump drive version anyway – just in case

For Outside Speakers Only

  • Make your travel arrangements in accordance with the expense reimbursement guidelines [link]
  • Advise us of your travel plans, so that we can make your guest room reservation accordingly
  • Provide a brief biographical sketch to your session moderator for the purpose of introductions
